The Missed-Call Fix

Housecall Pro missed call text back: per its help, it texts existing customers

Disclosure: we wrote and sell a guide on this.

Housecall Pro missed call text back is a feature called Missed Call Automation. There's one limit to know, though, so read the "existing customers" part before you rely on it: per Housecall Pro's own help, it texts existing customers. As of Oct 20, 2026, Housecall Pro's Missed Call Automation help (Voice Settings Overview) doesn't describe texting first-time callers, so test from a new number. Housecall Pro also has CSR AI Text Answering, in alpha, which per its help (Aug 27, 2026) can text new customers after a qualifying call CSR AI handled. Below: the setup, the new-caller gap, and how to test it.

What Missed Call Automation does

Housecall Pro's Missed Call Automation sends a text message to your existing customers when you miss a call. You choose when it runs: during business hours, outside business hours, or any time of day.

The new-caller gap, and CSR AI

Because the help article describes the automation for existing customers, check what a first-time caller actually gets. Housecall Pro's CSR AI Text Answering, which is in alpha, can text new customers after a qualifying call, including calls that end unexpectedly, and it doesn't currently text existing customers. Housecall Pro says it's still being refined and features may change. It's a follow-up to calls CSR AI handles, not a text-back for calls nobody answered, so check which one fits your setup. If CSR AI isn't on your account, or you don't want AI answering, a separate tool such as Quo can text new callers. Don't run two text-back tools on the same number, though: the caller would get two texts.

Housecall Pro texting: what you need first

Housecall Pro's Texting Number is "available on all plans once you complete the registration process," and replies go to your Customer Inbox. Missed Call Automation lives in your Voice settings, so check that Voice is on your account. For Housecall Pro Voice pricing, Housecall Pro shows your Voice package and plan cost under Settings → Billing → Plans & Payments, then Manage next to Voice. It isn't a free tool.

Steps (from Housecall Pro's help article)

Per Housecall Pro's help, the steps are: Settings, Inbox, the Voice tab, then the missed call automation section, where you toggle it on, choose the hours type and customize the message.

  1. Go to Settings.
  2. Select Inbox in the left menu.
  3. Select the Voice tab.
  4. In the missed call automation section, toggle the automation on (or click the pencil icon to edit it).
  5. Choose the hours type.
  6. Click Customize message, and use Add variable to insert fields, including your booking link if you use Online Booking.
  7. Put your company name in the message; Housecall Pro requires it.

Housecall Pro call forwarding

Housecall Pro's call flows include a Forward Call widget that can roll a call you don't answer on HCP Web over to another number. Housecall Pro's Voice settings also cover porting an existing business number in.

Texting Number still in review?

If your Texting Number's registration is still in review, don't count on the automation yet. Automatic texts start once carriers approve your registration. Quo reports most approvals within 24–48 hours, but some take up to 20 days or longer. Until it does, change your Housecall Pro voicemail to ask callers to text the job details instead.

Wording for Customize message

Housecall Pro wants your company name in the text, so this one leads with it (template A1 from the guide's text pack):

[Business]: sorry we missed your call, we're on a job. What's the problem and your address? We'll call you back shortly. Reply STOP to opt out.

If you also run it outside business hours, that message should say when you'll reply and how to flag an emergency. The guide has an after-hours version (A2).

Test both kinds of caller

  1. From a phone that isn't a customer, call and let it ring out.
  2. From a phone that is a customer, do the same.
  3. Compare. Did both get a text? Does each start with your business name and include STOP?
  4. Check the reply landed in your Customer Inbox.
