Missed call text template for contractors (free)
Disclosure: we wrote and sell a guide on this.
Here's a free missed call text template you can copy tonight, the rules behind it, and what to check before you paste one into your tool. It goes one step past a plain "sorry we missed your call": it asks the caller one question they can answer.
Free missed call message template: business hours
This is template A1 from the guide's text pack, word for word:
[Business]: sorry we missed your call, we're on a job. What's the problem and your address? We'll call you back shortly. Reply STOP to opt out.
Swap [Business] for your business name. That's the only change it needs.
Sorry we missed your call text: why it's built this way
- Business name first. The caller knows who's texting before they read anything else. Housecall Pro requires your company name in its missed-call text.
- One question. "What's the problem and your address?" gives them something easy to answer, and gives you what you need before you call back.
- A real reason you missed them. "We're on a job" is honest, and it's why they couldn't reach you.
- An opt-out at the end. "Reply STOP to opt out" is expected for automated business texts. Honor any "stop", "quit" or "don't text me" right away, in any wording.
Missed call SMS template length rule
Keep it to about 160 characters or less once your business name is in. That's one standard text segment. No emojis or curly quotes: they switch the text to a different encoding and can shrink the limit to 70 characters, which splits your message. Count yours after filling in the brackets.
Before you paste it in
- Check your tool can send it. Google Voice and regular cell plans don't offer missed-call text-back, per their own help pages (checked Oct 20, 2026). Tools that can: Housecall Pro, Jobber, ServiceTitan and Quo. None of them is free.
- Check registration. An automatic reply counts as business texting, so the number needs carrier registration first. Automatic texts start once carriers approve your registration. Quo reports most approvals within 24–48 hours, but some take up to 20 days or longer.
- Use one tool per number. Two tools texting the same caller looks like spam.
- Keep it to one automatic reply. Follow-ups, review asks or promos need the customer's permission.
Missed call message examples: what other situations need
Business hours is the easy case. Other situations need different words (described here, not reproduced): - After hours: say when you'll reply, and how to flag an emergency. - Weekends: say when you're back. - By trade: plumbing, HVAC and electrical callers each have a few likely problems. Name them, so the caller can just pick one. - Emergency and safety: put safety instructions first (for example, gas smells). Never give advice your trade wouldn't stand behind. - Follow-ups: a one-time manual check-in if they haven't replied, sent by hand.
Test it
From a phone that isn't saved as a customer, call your business number and let it ring out. Check that the text arrives, starts with your business name, fits in one text, and ends with STOP.
